Christmas planning checklist: what to do each week from November to Christmas Day
A Christmas planning checklist you can follow week by week: set the budget and gift list in November, send cards and post gifts early in December, run the Secret Santa, fill the stockings and keep Christmas week calm.
Christmas feels rushed when everything lands in the same two weeks: the gifts, the cards, the office Secret Santa, the stockings and the food. Spread over seven weeks, each job is small.
This checklist starts in the second week of November and counts down to Christmas Day, Friday, December 25. Do the one or two things in each week and nothing piles up.
Before you start: three lists
- A gift list: everyone you buy for, with a budget next to each name.
- A card list: every household you send a card to, with an up-to-date address.
- A dates list: the parties, the gift swaps, school events and the day you need to post things by.
Week 1 (November 9 to 15): budget and gift list
- Set the total you want to spend, including wrapping, cards, postage and stocking fillers.
- List every person and give each one a budget. Add teachers, neighbors and coworkers now, not in December.
- Ask the family for wish lists and sizes, and write down any gift ideas you already have.
How to plan Christmas gifts on a budget
Week 2 (November 16 to 22): Secret Santa and gift exchanges
- Agree the price limit, the swap date and who is in for each exchange: family, friends, the office.
- Draw names early, so people posting gifts have time to shop and ship.
- Keep couples and housemates apart in the draw, and avoid last year's matches.

Week 3 (November 23 to 29): Thanksgiving week and the first sales
- Buy the big gifts on your list if they are on sale, and note the expected delivery date of each one.
- Mark every gift as bought, so nobody gets two.
- Order cards and stamps, and check your card list for addresses that have changed.
Week 4 (November 30 to December 6): cards and anything that ships far
- Write and address the cards. Print labels if you send more than twenty.
- Post gifts and cards going overseas first; they need the most time.
- Check your carrier's holiday ship-by dates and put them on your dates list.
Week 5 (December 7 to 13): finish shopping and plan the stockings
- Buy what is left on the gift list and check each one off against its budget.
- Plan the stockings: who gets one, a budget each, and the same number of items for siblings.
- Mail the cards going within the country.
Week 6 (December 14 to 20): post, wrap and swap
- Post the last gifts going by mail, early in the week.
- Wrap as gifts arrive, and label each one. Keep the stocking fillers apart.
- Run your Secret Santa or gift swap, and chase any gift that has not arrived.
Week 7 (December 21 to 25): Christmas week
- Check every gift is bought, wrapped and in the right house.
- Fill the stockings on Christmas Eve from your list, so no one is missed.
- Write down what worked and what you spent, ready for next year.

Quick answers
When should I start planning for Christmas? Early to mid November gives you seven calm weeks. Starting after Thanksgiving still works, but do weeks 1 to 3 together in the first few days.
What should be on a Christmas planning checklist? The budget, a gift list with a number per person, the card list, any gift exchanges, the ship-by dates, the stockings and the food. Each one is a short list of its own.
How do I keep to a Christmas budget? Give every person a number before you shop, write down what each gift really cost, and move money between people only on purpose.
What is in the Christmas Planner Bundle?
It is four spreadsheets for Excel and Google Sheets, each with a Blank and a Sample file, that cover the lists on this checklist. The Christmas Gift Planner keeps a budget per person and up to 250 gifts from idea to given, with planned and actual cost and each delivery date checked against your ship-by date.
The Holiday Card & Address List Tracker holds 300 households with four years of cards sent and received, a postage estimate and printable labels. The Secret Santa & Gift Exchange Organizer draws names for up to 80 people with households and exclusions kept apart and prints a card for each giver. The Stocking Stuffer Planner covers up to 50 stockings with a fair-share check and a Christmas Eve fill-night list. Bought separately, the four cost $25; the bundle is $19.
