Holiday party planning checklist (home or office)
A holiday party planning checklist for a home party or a work party: guest list and RSVPs, food and drink amounts, a run of show, a shopping list and the thank-yous, in the order to do them.
Planning a holiday party goes smoothly when you work backwards from the date. This checklist covers a party at home and a work party, in the order the jobs usually need doing. Use it on paper, in a notes app or in a spreadsheet.
Four to six weeks before: the basics
- Pick the date and start time, and check it against other events your guests are likely to attend.
- Set a total budget and a rough split: food and drink, decor, prizes or gifts, and extras.
- Choose the place and count what it holds. For a work party, compare a few venues on capacity, quote and what is included before you commit.
- Decide the format: sit-down meal, buffet, potluck or drinks and snacks.
- Send invitations with an RSVP date. Ask about dietary needs in the same message.
Three weeks before: build the guest list
Keep one list with a row per guest. For each, note whether they have replied, whether they are bringing a plus-one or children, and any dietary needs. Your headcount is the people who said yes plus their plus-ones, so update it each time a reply arrives.
| Column | What goes in it | Why it helps |
|---|---|---|
| Name | One row per invited guest | Shows who has not replied |
| RSVP | Yes, No or Waiting | Drives the headcount |
| Plus-ones and kids | How many extra people | Keeps food amounts honest |
| Dietary needs | Allergies and diets, in the guest’s words | Avoids surprises at the table |
| Bringing | The dish or item they offered | Stops five desserts and no sides |
Two weeks before: food, drink and shopping
- Decide how much each adult and each child is likely to eat and drink, then multiply by your confirmed headcount. Round up for the items that run out first.
- If it is a potluck, set how many sides, salads, desserts and drinks you need before guests choose.
- Write a shopping list with item, quantity and store, and tick things off as you buy.
- List decor by area, with who sets it up and when.
Check any food-handling or storage question against the packaging and your recipes. A spreadsheet can add up quantities, but it cannot tell you what is safe to leave out.
The week of: write a run of show
A run of show is a list of times, from setup to the last goodbye, with a name beside each part. Count back from the start time: when guests arrive, when food goes out, when games or a gift exchange begin, and when you will wrap up.
- Give each helper one specific job and an arrival time.
- Plan games with end times so two activities do not overlap.
- Confirm your final headcount with the venue or caterer if you have one.
- Send guests a short reminder with the address, start time and parking.
Working on a work party? Add these
- A small committee with owners for venue, food, decor and entertainment.
- RSVPs and headcount by department, so no team is missed.
- A gift swap limit set in advance, and matches checked so nobody is left out or matched with themselves.
- A plan for people who cannot attend or have dietary needs.
Hosting an ugly sweater party? Add these
- Contest categories and a prize for each, such as ugliest overall or most festive.
- Numbered entry tags and a ballot for every guest, with a time when voting closes.
- A way to count the votes and spot a tie before you announce the winners.
After the party
Write thank-you notes while you remember who helped and who brought what, return anything borrowed, and note what you would change. Keep your final lists so next year starts from a draft instead of a blank page.
Would a ready-made spreadsheet save time?
The Holiday Party Planner puts this checklist into a spreadsheet: a guest list for up to 200 guests with RSVPs, plus-ones, kids and dietary notes, a headcount that updates itself, food amounts per adult and per kid, a shopping list, a run of show counted back from your start time and a checklist of 35+ tasks dated from your party date. The Office Holiday Party Planner is built for work parties, with RSVPs for up to 300 people by department, committee tasks, a venue shortlist and a gift swap matcher. The Ugly Sweater Party Planner adds printable contest ballots and numbered tags, a vote tally that picks the winners and a potluck sign-up. Each Etsy download includes blank and sample .xlsx workbooks and a PDF quick-start guide, for Excel or Google Sheets. They are planning spreadsheets: they do not send invitations, take live RSVPs or book a venue.
