Hidden Wedding Costs: 7 Things Your Budget Is Politely Hiding

Tips, tax, alterations, rentals, vendor meals, stamps and license fees: seven hidden wedding costs, one question for each, and a free budget sheet.

You have a number. You have a spreadsheet. You have a color-coded tab and a mild emotional attachment to it.

And your budget is still missing money.

Not the big stuff. Venue, food, photographer and dress got their numbers on day one. It's the small stuff that slips in through the side door wearing a name tag that says just a small fee.

Here are the seven usual suspects, plus one question for each that makes it confess.

Free download: the Hidden Costs Budget Sheet (one tab, all seven pre-listed, does the math for you)

1. The tip jar nobody mentioned

The people who make your day run smoothly are the people most likely to be missing from your budget: hair and makeup, servers, drivers, the crew that hauls in the cake.

Common guidance (not a law, and it varies by region and contract):

Ask this: "Is gratuity already in the contract?" Some contracts include it. Some do not. Find out now, not at 9 p.m. while holding a pile of envelopes.

2. The price that isn't the price

A quote is a number. A total is a different number. They are not on speaking terms.

Pretend your caterer quotes $10,000. Then come a 20 percent service charge and 8 percent tax, both on the base price. Your $10,000 is now $12,800.

(Pretend numbers! Yours will differ. The gap is the point.)

Ask this: "Is that the all-in price, with tax and service charge?" And at the bar: "Is it priced per drink, per hour or per person?"

3. Fittings, steaming and the shoes you didn't plan on

The sticker price of the dress or suit buys you the dress or suit. It does not buy you looking like it was made for you.

Alterations, pressing or steaming, shoes, undergarments and accessories all live outside the sticker.

Ask this: "Can I have a written alteration estimate when I order?" Order day is the cheapest day to find out.

4. Chairs don't walk themselves

A rented chair costs a few dollars. Getting it to the venue, setting it up and taking it away again is a separate conversation, and a separate charge.

Ask this: "What are the delivery, setup and pickup fees, and what is the time window?" Late pickups and extra labor can be billed on top.

5. Your photographer is hungry (and the clock is ticking)

Many photographers, DJs and planners expect a meal for the team, and some contracts say so. Add them to the catering headcount. Nobody does their best work hangry.

Then there is overtime. The toasts run long, dinner runs slow, the DJ gets one more request, and the meter is running by the hour.

Ask this: "What does one extra hour cost?" Then pad your timeline like you mean it.

6. Stamps. So many stamps.

Invitations have a design cost and a postage cost, and the postage cost has opinions. Square, oversized or heavy envelopes can need extra postage. The RSVP card needs a stamp too.

Then come the save-the-dates, the thank-yous and the three you will ruin while addressing.

Ask this: "What does this fully assembled invitation cost to mail?" Take a finished sample to the post office. In person. It is worth the trip.

7. The paperwork tax

Marriage license fees, certified copies of your certificate, any officiant or filing fee, and name-change paperwork: all of it varies by county and state. Each one is small. Each one has a deadline.

Ask this: "What does our local office charge, and how long is the license good for?"

Bonus: the "oh no" fund

Every wedding has one surprise nobody could have listed. Give it its own line in the budget and do not touch it until the last month.

Free wedding budget calculator: it starts with 5 percent held back, a decent floor. Raise it if your quotes are still fuzzy.

Quick answers

What wedding costs do people forget most often? Tips, tax and service charges, alterations, rental delivery and pickup, vendor meals and overtime, postage, and license fees.

Do I have to tip wedding vendors? No rule says you must. There is common guidance, and some contracts already include gratuity. Check each contract first.
