Christmas gift budget spreadsheet: what to track

How to set up a Christmas gift budget spreadsheet in Excel or Google Sheets: the columns that matter, per-person budgets, planned versus actual cost, and a way to keep it for next year.

A Christmas gift budget spreadsheet only needs a few columns, as long as they are the right ones. This guide covers what to put in each, how to set the total, and how to make the sheet reusable next year. It works in Excel or Google Sheets.

Start with one total and one row per gift

Type your overall gift budget in one cell and give every gift its own row. Do not hide several presents in one line; when a row holds one gift, the totals stay honest.

The columns that earn their place

ColumnWhat goes in itWhy it helps
RecipientOne name, spelled the same each timeLets you add up spending per person
GiftWhat you plan to giveKeeps ideas next to costs
Planned costYour estimateShows the budget you have committed
Actual costWhat you paid, left blank until thenReplaces the estimate once you buy
StatusIdea, Ordered, Bought, Wrapped, GivenShows what still needs doing
Expected deliveryA date you enterFlags anything arriving too close to the day

The sample amounts you will see in any template are fictional. Set your own budget and your own per-person limits.

Set a budget per person

Give each recipient a share of the total, then reserve a line for extras such as wrapping, cards and postage. A per-person limit with a “left” column tells you at a glance who still has room and who is already over.

Keep planned and actual apart

Add planned costs for gifts you have not bought, and actual costs for gifts you have. The working total is the actual cost where you have paid and the planned cost where you have not. A simple IF formula does it: use the actual amount when the cell is filled, otherwise the planned one.

Add a delivery date for anything you order online

Enter the expected delivery date for each order and compare it with the date you want everything wrapped. Dates here are ones you type; a spreadsheet does not track a carrier or guarantee arrival.

Make it reusable next year

Put the year in one cell and keep last year’s gifts as history, so you can see what each person received and avoid repeating it.

Would a ready-made version save time?

The Christmas Gift Planner is that spreadsheet already built: a budget per person, a gift list for up to 250 gifts with the five statuses, planned and actual cost, order and delivery dates, a Secret Santa tracker, a stocking stuffer list and gift history by year. The Christmas Planner Bundle adds a Christmas card and address list, a Secret Santa organizer and a stocking stuffer planner. The Etsy download includes blank and sample .xlsx workbooks and a PDF quick-start guide for Excel or Google Sheets. It is a spreadsheet you update; it has no bank connection or shopping automation.
