How to plan guest travel for a destination wedding
Track every guest’s flights, passports, hotel room block and airport pickup for a destination wedding, with a timeline for cutoffs and a simple way to group arrivals into shuttle runs.
At a destination wedding the couple ends up running a small travel agency. Guests book their own flights at different times, hotels hold blocks with deadlines, and someone has to meet every plane. Keep all of it in one list, keyed by guest, so a changed flight updates the room dates, the shuttle and the welcome bag count at once.
Six to nine months out: set the travel rules
- Pick the arrival airport and the window when guests should land, usually the two days before the welcome event.
- Write down who pays for what: rooms, transfers and each event. Guests plan better when it is clear early.
- Check the entry and passport rules for your destination and share them with guests. Many countries require a passport to stay valid for months after the trip ends.
- Ask hotels for room blocks with a cutoff date and the minimum you must fill.

Watch the room-block cutoffs
Most blocks release unbooked rooms on a cutoff date, and some charge you if too few rooms are taken. Track rooms booked against each block, and nudge guests who have not booked about three weeks before each cutoff, not the day before.
| Illustrative block | Rooms held | Booked | Cutoff | Action |
|---|---|---|---|---|
| Hotel A | 16 | 12 | Feb 19 | On track |
| Hotel B | 8 | 5 | Nov 10 | Remind the 3 unbooked guests now |
| Hotel C | 4 | 3 | Mar 20 | On track |
These figures are fictional and only show how a cutoff warning works.
Collect flights as guests book them
Ask each guest for their flight number, arrival time, departure time and passport expiry date in one message, then enter them as they arrive. Flag anyone who has replied yes but has no flight yet. That list is your follow-up list.
Group arrivals into shuttle runs
Sort arrivals by day and time, then group guests who land within the same window, for example two hours, into one pickup. Divide each group by your van size to see how many vans you need. Do the same for departures on the way home.

Count welcome bags from the headcount
Base welcome bag quantities on confirmed guests, not invitations. Decide whether each item is per guest, per adult, per child or per bag, and plan deliveries by check-in day so bags reach rooms before guests do.
Share a wedding-week itinerary
List every event with time, place, dress code, transport and who is invited. Check it against arrival dates: a guest invited to the welcome dinner who lands the next morning needs a heads-up.
What is in the Destination Wedding Planner?
The spreadsheet tracks up to 300 guests and 6 hotel room blocks. It flags passports that expire too soon under the rule you set, warns before block cutoffs, fills room dates from flights, groups arrivals and departures into shuttle runs, counts welcome bags and keeps the wedding-week itinerary. It is a planning spreadsheet, not travel advice: confirm entry rules with official sources.
